Upon hire, all full-time COS employees receive 20 days of “Paid Time Off” (PTO). Starting on a staff member’s 3-year anniversary, they will receive 23 days of PTO, and starting on a staff member’s 5-year anniversary, they will receive 25 days of PTO. Upon termination, all unused PTO will be forfeited. PTO is not accrued and has no cash value. PTO follows a year-to-date schedule, based on the employee’s anniversary date. | ||
Staff must receive manager approval for PTO and indicate the time off on their COS calendar. When scheduling PTO, staff must “invite” their manager to the event; if the manager accepts the invitation, this indicates the PTO is approved. If the invitation is declined, the PTO has been declined. Staff must also invite the [email protected] calendar for PTO tracking purposes. When submitting a request, please use the following format in the subject “First Name, Last Initial, Date of Request, Duration of Request”. For example: John D., 4/26/22, 8am - 12pm. For multi-day requests, please list the dates and state “all day” for Duration of Request. | ||
For single day requests, send it as "all day" through google but indicate the timeframe of the request in the subject line. This will avoid blocking your manager's calendar. You may consider putting a separate block on your calendar for the time you are out so things don't get scheduled. | ||
For requests lasting more than one day, send it as "all day" through google and indicate the start and end dates by selecting those for the request as well as listing them in the subject line. Again, it is suggested you send this without blocking your manager's calendar and place a separate block on your calendar. | ||
Staff must receive manager approval for PTO and requests for time off must be made through Rippling. Staff should block their google calendar for the time they are out so things don't get scheduled. | ||

All staff who cannot work due to an illness should notify Human Resources and their team lead and use PTO for the first 2 days, as needed. Any absence due to an illness for more than 2 consecutive days will require a note from a doctor outlining that the employee's absence was due to a serious health condition, the dates that the employee should be excused and when the employee can be expected to return to work. If that note does not contain an explicit release to return to work, a separate note releasing the employee to return to work and noting any restrictions may be required. Employees should provide the doctor’s note directly to Human Resources. Failure to provide this will be considered a voluntary separation from COS, unless extenuating circumstances exist which make it difficult to provide a note in this timeframe. In this case the employee should notify Human Resources and their team lead to develop an alternative timeline for this supporting documentation. | ||

Hourly Time Tracking | ||
-------------------- | ||
Hourly staff members are responsible for submitting their timecards on time for payroll processing. Staff who do not meet these requirements will not be paid for their unrecorded time until the next pay period. All overtime hours must be recorded and pre-approved by your manager. If you have missed hours, or need a password reset, please notify Human Resources. If you are sick, or need to make a schedule change, please notify your manager or team lead. For more detailed information about time card due dates and corresponding pay periods, reference your welcome email from Zenefits. | ||

Paid Holidays | ||
------------------ | ||
The following U.S. holidays are observed by COS and do not count against Paid Time Off for full-time, regular employees. Part-time regular employees who work a set hourly schedule are eligible for paid holidays, if their regularly scheduled day to work falls on an observed holiday. Part-time regular employees who work a variable hourly schedule are not eligible for paid holidays. Holidays observed are: New Year’s Day, Martin Luther King, Jr. Day, Memorial Day, Juneteenth, Independence Day, Labor Day, Thanksgiving Day, Native American Heritage Day, Christmas Eve, Christmas Day, and New Year’s Eve. All paid holidays are on the COS calendar. | ||
We support cultural and community diversity. While the COS offices will be closed on the aforementioned dates, employees may choose to work on those dates and instead float the paid day off to another day of personal significance. Employees should let their manager know in advance if they plan to float a holiday to another day and mark this on their calendar. Also, HR should be invited on the calendar notation by including [email protected] as an attendee. | ||

Employees should let their manager know in advance if they would like to float a holiday to another day. If approved, Managers will need to add a Floating Holiday balance to the employee's Time Off in Rippling. Once the balance has been added, employees must submit the request within the Rippling system for tracking purposes. Employees should also indicate on their Google Calendar if they will be working a paid holiday and block their Google Calendar for any days they will be out of office. | ||
